TRAINER'S CREDENTIAL RENEWAL  

Trainer's Credentials must be renewed every three years. Credentialed Trainer's who are a Level 2-5 and Specialty Trainers must submit an application 30 days prior to their expiration date. To be eligible for renewal, an applicant who has a credential at Levels 2, 3, or 4 must obtain a total of 45 clock hours of training during the 3 years that the credential is current.

Of these 45 hours, 15 hours must be training in adult learning theory or effective training methods (see list below of accepted adult learning training). Opportunities to obtain the 15 Adult Learning Theory clock hours are:
1) Beyond Fundamentals Trainings
2) Trainer's Dial-A-Discussion
3) Trainer's Institute.

The other 30 hours should be in early childhood and should be obtained from a credentialed trainer or from a trainer who has been pre-approved by the Division of Child Care (e.g., an out-of-state speaker). Three hours of college coursework in early childhood, or 4.5 CEU’s in early childhood will also be accepted in lieu of the 30 hours of training in early childhood.

Level 2-4 Trainers: please submit only the verification of training hours needed to renew. Please do not submit documentation of Fundamentals of Effective Training, Introduction to Resources for Kentucky Trainers certificate or other training certificates issued prior to the Kentucky Trainer's Credential issue date. These documents are not required for renewal and will only be discarded.

Level 5 Trainers: documentation of training hours is not required. Level 5 trainers should submit a completed Trainer's Credential Application to the address listed on the cover page of the application.

Specialty Trainers: A trainer renewing a Specialty Level should submit a completed Trainer's Credential Application and proof of current license, certificate, or credential in the trainer’s area of expertise.

 

Credentialed Trainer's who are a Level 2-5 and Specialty Trainers must submit an application 30 days prior to their expiration date. The Trainer's Credential Application is available by clicking here. Should an application be submitted after the 30 day deadline but before the expiration date, that application will be reviewed at the Trainer's Credential Panel Meeting following the expiration date.



Frequently Asked Renewal Questions

Do I have to submit my transcripts, resume and my documentation I sent for my initial application when I apply for renewal?

No, you need to only submit copies of training certificates and the completed application for renewal. Any information submitted with your initial application is already on file.

How soon should I submit my renewal application?

You should allow at least 30 days before your expiration date.

Do I need to submit my renewal application before a Trainer's Credential Panel Review Meeting?

No, the Trainer's Credential Panel will only review renewal applications if the renewal hours are questionable, or if the Trainer's Credential Coordinator is unable to determine if submitted documentation should count for renewal. In either case, the Trainer's Credential Panel will be convened for a special session to determine if the renewal should be recommended.

Can I fax my application?

No, faxed applications will not be considered. All applications received must have an original signature.

What if I want to go up a level?

If you plan to go up a level (i.e. Level 4 to Level 5) you should not wait until your expiration date. Instead, when you complete the requirements for a new level, you should submit an updated appplication. Waiting until your expiration date can hamper this process. If you are a Level 4 Trainer who is completing the requirements to become a Level 5 Trainer, you may still need to show documentation of the 45 hours to renew a Level 4. If you are a Level 4 Trainer considering moving levels, you should contact the Trainer's Credential Coordinator, Karali Stamper as soon as possible.

How soon will I hear if my application has been approved for renewal?

The Cabinet for Health and Family Services, Division of Child Care, will send an updated Kentucky Early Care and Education Trainer's Credential Certificate the same month as your expiration date, regarless of how early you have submitted your application.

What if my trainer's credential expires?

If your trainer credential expires, you are no longer permitted to train as a Kentucky Early Care and Education Trainer. If an expired trainer wishes to continue to train, they must reapply as an initial Early Care and Education Credential Trainer.
